JOB DESCRIPTION 

The Operations & Customer Service Coordinator is a hands-on, customer-oriented role that bridges warehouse operations with inside sales support operations. This position is responsible for ensuring efficient order fulfillment, rental coordination, and inventory management, while also providing front-line customer assistance and inside sales support. The ideal candidate is detail-driven, communicative, and thrives in a fast-paced environment where they can balance logistics tasks with responsive customer interaction

Warehouse & Operations Coordination:

  • Receive, inspect, verify incoming products and place them in the appropriate storage areas.
  • Prepare and ship customer orders, including rentals and accessories.
  • Coordinate logistics with freight carriers or couriers.
  • Monitor inventory levels and initiate reorders upon approval.
  • Conduct periodic inventory counts to ensure accuracy.
  • Maintain cleanliness, safety, and organization in the warehouse.
  • Handle deliveries and receptions of new rental equipment.
  • Inspect rental equipment before dispatch and upon return.
  • Initiate invoicing of delivered orders

Customer Service:

  • Assist customers in a professional and friendly manner.
  • Prepare quotes and process orders for accessories and rentals.
  • Respond to inquiries from customers and the outside sales team regarding product availability, rental options and pricing.
  • Manage rental orders and generate related documents (contracts, agreements, etc.).
  • Receive equipment for repair, complete documentation, and notify customers when ready.
  • Follow up on management-identified quotes, online orders, license renewals, and outstanding customer requests
  • Assist in managing branch equipment inventory and availability.

Requirements

    • 2+ years of experience in warehouse operations, logistics, or customer service.
    • Proficient in Microsoft Office (Excel, Word, Outlook).
    • Experience with ERP or inventory systems (strong asset)
    • Strong communication and interpersonal skills with a customer-first mindset.
    • Detail-oriented with strong organizational and multitasking abilities.
    • Ability to prepare quotes, respond to inquiries, and support inside sales teams with professionalism.
    • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
    • Capable of conducting physical inventory counts and maintaining organized storage areas.
    • Must be in good physical condition and able to work in varying warehouse environments.
    • Familiarity with shipping logistics and rental equipment coordination is a strong asset.
